You supplied the goods. You delivered the service. The invoice went out on agreed terms and the payment never came. Somewhere between the third polite reminder and the fourth unreturned call, chasing your own debtor stopped being a cash flow problem and became a drain on the time you should be spending running the business.
Special Services Bureau handles commercial debt recovery for businesses of every size, from a single stubborn account through to an entire aged debtors book. We accept instructions for claims from R20,000 upwards, with no maximum claim value. Whether you are owed R20,000, R2 million or R20 million, the same disciplined process applies.
How commercial recovery actually works
The first thing we establish is who the legal debtor is. Not the trading name on the invoice, but the registered company name and registration number. Creditors lose months to this single error, pursuing an entity that does not legally owe them anything. We verify it before anything else moves.
From there, a formal demand goes out, establishing the amount owed and the consequences of continued non-payment. Then comes the part that separates a professional collector from an automated reminder sequence: direct, personal engagement with the debtor, followed by consistent structured contact across phone, email, WhatsApp and SMS. Debtors respond to persistence from a named third party in a way they never respond to another statement from the creditor they have already decided to ignore.
Most commercial matters settle here, either in full or on a written payment arrangement. Where they genuinely do not, we escalate to legal action and manage the handover properly rather than handing you a cold file.
Why timing decides the outcome
Debt handed over within 60 to 90 days of falling due recovers at a substantially higher rate than aged debt. The reasons are practical: the debtor still has cash flow, the paper trail is intact and complete, and avoidance has not yet hardened into a routine.
Under the Prescription Act 68 of 1969, most commercial debts become legally unenforceable three years after they fall due. Once a debt prescribes, it is gone regardless of how clearly it was owed.
Certain acts can interrupt prescription, such as the debtor acknowledging the debt in writing or making a part payment. But if your account is approaching that three-year mark, it is genuinely urgent.
Firm, and fully compliant
Our collectors are firm, professional and focused on practical, sustainable outcomes. We operate in full compliance with the Debt Collectors Act 114 of 1998 and the Code of Conduct and Ethics of the Council for Debt Collectors. That protects you as much as it protects the debtor: appointing a collector who threatens criminal charges over a civil debt, or contacts a debtor’s family to embarrass them, creates legal exposure that lands on whoever appointed them.
Compared with lengthy and expensive litigation, commercial recovery through a registered collector is faster and more cost-effective. No agency can guarantee recovery, and any that promises it should worry you. What we guarantee is a professional, transparent and systematic approach to every instruction. Fee structure confirmed in writing before any action is taken.
